1) Bookings
Bookings may be made via email, phone, letter or fax. On receipt of the verbal or written instruction we will then reserve the course place(s) for you and will send through confirmation of the Booking. To confirm your Booking, we ask you to check and complete the details on the Booking Form along with a Purchase Order Number (P.O.) and your signature. If we have not received your signed Booking Form and P.O. within 2-3 days, we will contact you to remind you. However, where there is less than 20 working days before the start of the course(s) or where the Booking has been in placed for a minimum of 20 working days (and not cancelled by you in writing) the Booking will be deemed to have been confirmed.  The course(s) places will be kept for you and cancellation charges may apply. We will need your P.O. or payment references for invoicing purposes.



(2) Verbal Confirmation or Acceptance
Where a company or its representative wishes to confirm a definite course Booking, for example to secure specific course dates, even though a P.O. number may not be available to confirm the Booking at that time, out receipt of your verbal Booking and out agreement to hold the requires course dates will oblige you to accept that out Terms & Conditions will apply in full, including those Terms & Conditions relating to any subsequent cancellation, postponement and payment.

 

(3) Hotel Accommodation
We have arranged terms and services with local hotels for our clients. Please request any Hotel information required on the Course Booking Confirmation Form. We would be please to look after the Hotel Bookings for you and can add the cost to the Training Fees. Most Hotels do require us to make deposit payment at the time of booking therefore we would normally need prompt payment from you to settle our invoice. A small non-refundable handling fee is made to cover our administration.



(4) Cancellation & Postponement
Where a course place(s) are reserved for you/your people, we are making a commitment to keep the place(s) available. We cannot therefore offer the places elsewhere. We have a formal policy for handling postponements and cancellations and the details are set out below.



(4.1) Cancellation Charges

(4.1.1) Scheduled Courses



In the event of a cancellation, the following charges per cancelled course place will be made. A request to cancel the place(s) must be received in writing (letter/fax/email). You must not consider that any place(s) have been cancelled until you have made sure that we have received your request (this can be done by phoning the office/mobile). We will confirm the cancelled place(s) in writing within 1 working day or your request.

(4.1.2) Special, Customised or on-site Courses
In the event of a cancellation or postponement, any request must be made with a minimum of 20 working days notice to allow use to re-use the date(s). An administration fee of £80 per course may be payable to offset additional marketing costs. Full course fees are payable if less than 20 working days notice is given and we are unable to re-allocate the date(s).



(4.2) Postponement of courses
To postpone the place(s) on a scheduled course, the request must be made in writing with at least 10 working days notice. This will be done free of charge. Normal cancellation changes apply if less the 10 working days notice is given (4.1). Period of notice commences at the time Orchard Consultancy, Auditing & Training Ltd (hereafter known as - OCAT Ltd) receives written confirmation. Delegates/companies postponing places on courses must agree dates and where possible undertake training within 4 months of the postponement otherwise this is deemed a cancellation.



In exceptional and unforeseen circumstances OCAT Ltd reserves the right to cancel or postpone a course - example instructor illness or accidents. OCAT Ltd also reserves the right to cancel a course subject to written notice to confirmed delegates not later than 10 working days prior to the start of the course. OCAT Ltd will not be liable for any incurred or consequential losses by the customer or its trainee(s) as a result of the course(s) postponed or cancellation



(4.3) Courses conducted by out Training Partners
We offer courses conducted by our Training Partners, where courses are conduct for us by these partners, their course cancellation and postponement policies will apply. These are available on request. Please Note; these may vary depending upon the actual course or where examination/registration fees apply.  



(5) Invoicing
Invoices for Training Fees are raised in advance of the course. Fees are based upon payment being received by us within 30 days of the invoice date, at the latest. Should you be unable to meet these terms, please advise us at the outset and we will re-quote under agreed terms. Interest on overdue accounts will accrue at 5% per month or part of.



(6) VAT
For all training, our fees and costs are quoted exclusive of VAT. VAT at the prevailing UK rate must be added to all figures VAT Registration No. 916047630.



(7) Payment
Payment can be made by Cheque made payable to Orchard Consultancy, Auditing, & Training Ltd or by Bank transfer to:-

(8) Times
Unless agreed to the contrary, the normal training for out courses is defined as being 09.00 to 17.00. Usually the instructor will discuss variations to the timings should it be required and if you wish to start later on the first day of the course and extend the subsequent days to compensate then please contact us 10 working days prior to the start of the course to ensure the smooth running of the courses.



(9) On-Site Courses
For your convenience, courses can be conducted on your own site. Where courses are conducted away from our designated centre an additional charge will be made to cover instructors travel time, and mileage. Accommodation, where required, subsistence, other travel costs and additional insurance costs are also charge extra (at cost +10%). You will need a suitable room with 240v supply. The room must also be secure and your insurance will need to cover the hardware/software for the duration of the training Course fees are as standard but subject to a minimum fee based on 3 or 4 delegate attending.



(9.1) Health and Safety/First Aid Provision
It is the condition of our acceptance to conduct on-site training that adequate Health & Safety/First Aid provisions is available and adequate in accordance with local legislation for our instructor on the site where the training is to be conducted.



(10) Course Lunches
For our designated centre training based courses, a light lunch will be provided. (Please notify us of any dietary requirements on your Booking Form.


(11) Programme Information
A full delegates pack including programme information will be forwarded at least two weeks prior to the start date.



(12) Venue
Programme venues are varied across the country and to the requirements of the course. We reserve the right to run programmes at a different venue than the one that may be specified, when necessary. If this is the case, we will inform you as soon as possible and provide you with full information.



(13) Privacy and Date Protection
We do not sell, trade or rent your personal information to any third party. We will add your details to our database to process your booking and so that we can keep you up to date with relevant details of our services.
